# Understanding Beer Records

A Beer record contains product and reporting information for a beer. Batches track production runs; beers track the product identity that those batches are linked to.

# Types of Beers

There are three types of beer records:

  1. Core Beers

    • Year-round offerings
    • Reused by many batches
    • Not tied to a product release date
    • Usually do not go through the release announcement workflow
  2. Seasonal Beers

    • Recurring occasional offerings
    • Reused by batches when no separate release workflow is needed
    • Can be used as the parent for linked release records when a seasonal beer is packaged as a formal release
  3. Releases

    • One-off beers or dated release instances of seasonal beers
    • Include scheduled release dates
    • Support release workflow details such as audience, announcement content, labels, and launch planning
    • May link back to a Seasonal beer through the release's linked seasonal beer field

Core and Seasonal beer records are meant to be stable product identities. Release records are date-bound instances and may change release-specific content from one release to the next.

Note: In batch scheduling dropdowns, beer names are grouped for quick selection. Core beers are listed first, then upcoming releases, then seasonals, then previous release names.

# Managing Beer Records

# Creating Beer Records

Beer records can be created in two ways:

  1. Directly in the Beers section
  2. Automatically when creating a new batch with a new beer name

When scheduling a batch, selecting a Core or Seasonal name links the batch to that existing beer. Selecting a previous Release name creates a new Release using reusable basics from the prior record. Selecting a Seasonal name and turning on Create new release creates a new Release linked to that Seasonal.

# Required Information

  • Name: Required for all beers
  • Pricing: Required only if using Orders module
  • Optional fields:
    • Style
    • Description
    • ABV
    • IBU
    • UPC codes
    • Marketing materials (labels, photos)

# Finding Beers

  1. Navigate to the Beers section
  2. Use filtered views by beer type:
    • All Beers
    • Core Beers
    • Seasonals
    • Releases
  3. Use the search function to find specific beers

# Linking with Production

# Batches and Beers

  • Each batch must be linked to a beer record
  • Multiple batches can use the same beer record
  • Access the beer record from any linked batch
  • Beer records track history across all batches
  • Release records can link to one Seasonal parent beer
  • Seasonal beer records show linked releases when any exist

# Pricing Configuration

  1. Create Pricing Sets first
  2. In the Beer record, select the appropriate pricing set
  3. Orders will automatically use correct prices based on:
    • Package format
    • Sales channel
    • Selected pricing set

# Best Practices

  • Create core beer records before scheduling batches
  • Keep beer names consistent across batches
  • Update pricing sets before creating new beer records
  • Use the release type for beers with planned launch dates
  • Add marketing materials when available for consistent branding
